It was an internal document, but so many friends and businesses adopted it for their processes that I published it on my blog.
This short text is shared with every new team member and contractor to speed up onboarding.
- Anyone can communicate anytime, including holidays, weekends, and nights worldwide. However, attention from colleagues is not expected until their regular business days and hours. Remember that the team is spread over several countries and time zones.
- After calls, provide a summary of decisions made via Slack message to ensure everyone is on the same page. The summary should be a quick one-minute read, listing tasks and decisions from the call.
- Schedule enough time after our call to send a summary and immediately take steps to move forward with the action points on your plate. Avoid back-to-back meetings.
- React immediately when you see a task—use “eyes” 👀 on Slack, reply OK, or use any visible way to let others know you are aware of it.
- Provide your deadline estimate if the task takes over one day.
- For scheduled tasks, the deadline is 9 AM EST (Miami time) unless specified otherwise. The deadline for tasks assigned the day before or on the same day is 11:59 PM EST.
- If you take a task from the backlog, change its status to In Progress or another relevant status according to the workflow, and update the deadline.
- If you run out of tasks or you will soon – notify your manager. Ensure you have at least three days of backlog and can proceed with some tasks without input.
- Never miss promised deadlines in silence. Things happen. It’s life. Just communicate accordingly and move on.
- Please be responsive within 2 hours, from 7 am to 1 pm EST.
- General communication is only through Slack. It helps clarify where to seek information shared earlier.
- Calls are on Google Meet.
- Task-specific comments and progress reports are included in the relevant tasks on ClickUp.
- Projects, clients, and tasks are confidential. Please do not disclose any work-related information outside your colleagues’ circle.
